Terms of hire

A summary of the hall's current terms. The signed Hire Agreement is the full version.

The hirer

  • Must be over 21 and name a Responsible Person who stays throughout the event.
  • Is responsible for the building, its contents and everyone on the premises, including car parking. No parking on the grass.
  • Pays for any damage, including accidental damage.

Hire times and leaving the hall

  • Keep to your booked hire times and clear the hall straight after.
  • Return all furniture to the storeroom, remove your own equipment and leave every area, including the kitchen, clean.
  • The Responsible Person hands over to the Caretaker at the end.
  • Rubbish left outside the bins by the kitchen is removed at the hirer's cost, taken from the deposit.
  • Equipment must be removed after each hire. Daily fees apply until it is gone, and property not removed within 7 days is charged for storage and disposal.

Payment and cancellation

  • A deposit is requested at booking.
  • If you cancel and no replacement booking is made, any refund of the fee is at the committee's discretion.
  • The committee may cancel, for example if the hall is needed as a polling station, for licensing or legal breaches, if the premises are unsuitable or in an emergency. The deposit is then refunded, but the committee is not liable for further losses.

Alcohol, music and licences

  • No alcohol may be sold unless you hold an Occasional Licence for the period and have agreed it with the committee.
  • The hall holds a Performing Rights Society licence for copyright music. Any other licence you need is your responsibility.
  • Gaming, betting and lotteries must comply with the law. No animals except guide dogs, unless a special event is approved.

Noise

  • Keep noise to a minimum when arriving and leaving, especially late at night.
  • Use any noise limiter provided and follow the premises' licence conditions for sound equipment.

Safety and fire

  • The Responsible Person must know the fire exits and emergency procedures. Report any fire, however small, to the Fire Brigade and the Committee Secretary.
  • Before any entertainment, check exits are unlocked, escape routes are clear, fire doors are not wedged and exit signs are lit.
  • Electrical appliances must be safe and in good order. Use the residual current breaker where fitted.
  • No fireworks on the patio or surrounding grass, and no cannon confetti.
  • There is no telephone in the hall, so the Responsible Person should carry a mobile.
  • Only fit and proper people may be in the hall while children are present, and the hirer is responsible for the children's safety.

Insurance and liability

  • The committee accepts no liability for personal injury outside its Property Owner's Liability Insurance. Commercial users must provide their own insurance for the event.
  • No responsibility is accepted for stored equipment or valuables. Cars are parked at the owner's risk.

Other conditions

  • No alterations, fixtures or attachments without committee approval, and no fly-posting.
  • Sales of goods must comply with Fair Trading laws.
  • Use the premises only for the purpose in the Hire Agreement. No sub-hiring. The agreement gives permission to use the premises only, not a tenancy.

Helpful information

Insurance

The hall provides buildings and public liability insurance, plus a music licence. Large items such as bouncy castles probably need extra cover.

Alcohol

Selling alcohol needs a special licence. See the GOV.UK alcohol licensing pages.

Discos

No special licence needed, but be clear who is responsible for the equipment while on site.

Catering

Caterers must follow Safer Food Better Business and sign the book if asked. GOV.UK has guidance.

Electrical safety

Anything you bring must be suitable for its purpose and in good condition.

Raffles and bingo

Check the law on raffles and bingo before you plan one.

Personal items

No special provision is made for the safekeeping of your belongings. Check that your own insurance covers valuables.
